Learn About Order Time Integrations

Order Time gives you clock-like control and precision over your inventory and orders from anywhere in the world. Using cloud-based platforms has many benefits including being accessed on all Internet capable devices. However, one of the biggest draws for cloud-based services is the ability to connect and interface with other cloud offerings. Today we'll show you integrations involving Ecommerce, Shipping & Accounting which can be utilized with Order Time to make your stock control quick and easy.

-- Ecommerce Integrations --

Order Time features Ecommerce integrations such as BigCommerce, Magento, Shopify, WooCommerce, Volusion and 3dcart. In our Ecommerce Integration Editor within Order Time you can set up your connection to do a multitude of tasks. It can update your order statuses and update your inventory on the fly with synced sales orders and ship docs. Ship Docs are the ultimate sales transaction in Order Time. It shows the items the customers purchased. When items are involved, it is the Ship Doc that deducts inventory. They can be created straight from a Sales Order or manually from the side menu.

New Customers will be synced into Order Time and you can set up whether they are taxable or not and whether there are any default discounts for certain customer types.

Set up Sales Tax Mapping which can be set to identify via billing address by default. You can also map by state, zip, etc.

Then you move on to Ship Method Mapping. Typically your cart orders will a have shipping method and different charges. The integrator needs to know how to map the shipping methods in your cart with the shipping methods in Order Time. You can set up as many different methods and carriers as you'd like!

Payment Method Mapping can be done within the integrator to allow for different payment types and different terms. You can even add financing terms to your payment methods. The payment for the order will be appended to the sales order when the sale is synced.

Now on to syncing! You get to set the Ecommerce sync using the Scheduling tab. You can set it to twice daily, once weekly, etc. All with a few changes on the drop-down menus. The Sync Job is how Order Time controls what gets synchronized with your cart. You can initiate an ecommerce job to sync right away or you can put it in your schedule. With ecommerce integration, once you add your credentials and initiate connection testing, the scheduling starts immediately.

The ecommerce job triggers the importing of orders and customers from your web site, as well as, updating the order status and inventory quantities to your website. You will be informed via email when an ecommerce Job is completed and if there any errors. You can click the hyperlink to view the errors.

 

-- Accounting Integrations --

You can reliably connect your accounting solutions like QuickBooks for desktop, QuickBooks Online or Xero to Order Time.

How is the sync handled for QuickBooks desktop?

We use our own Connector that is downloaded onto one computer and continually runs. This computer will be designated to synchronize with Order Time. You generally want to choose one which does not get turned off.

When does Order Time sync with our accounting?

Remember when we said that Ship Docs are the ultimate sales transaction in Order Time? We meant it. It shows the items the customers purchased. When inventory items are involved, it is the Ship Doc that deducts the inventory. It has two states, Processing (Not Shipped) and Shipped. When the Shipped doc status has been selected, the quantity is removed from your inventory On Hand. This is the final step in the sales order process. It recognizes the revenue and posts the order to your accounting system and queues a sync.

When will Xero be fully available?

Xero will soon exit beta testing and be fully available before the end of October! We love to provide you with new and interesting integrations. Especially ones that have been asked for as much as this one. Thanks for supporting Order Time.

 

-- Shipping Integrations --

Shipping integration with ShipStation allows you to develop Ship Docs with all the relevant customer & item information, print labels, and get tracking numbers.

Shipping Integration is used when multiple sales orders are converted into a Ship Doc. Fulfillment batch is a functionality that allows you to turn multiple sales orders into a Ship Doc at the same time. Order Time is integrated with ShipStation so that when a Ship Doc is created and marked as 'picked', it gets released to ShipStation and a corresponding shipping label is printed. When a label is created, a tracking number is also generated and sent back to the Ship Doc within Order Time. Then all you have to do is send it out, mark the Ship Doc as Shipped and BINGO our sales cycle is complete.
